Perform this procedure to display the General Information page.
Business Process Procedure Overview |
Manager Self-Service (MSS), or 'My Staff,' is a single access point for managers to find employee information and perform managerial tasks.
MSS users must be designated as a 'Line Supervisor' (B 002) in the organizational structure to access MSS My Staff functions.
The General Information page is located in the 'My Team' Workset in MSS. Managers will use the General Information page to find basic information about his/her employees.
The General Information page includes the following sections: · Employee Search - A tool that resides at the top of the screen and is where the manager sees a list of his/her employees. When an employee is selected from the list, the lower part of the screen is refreshed with that employee's data. · General Data - Provides the manager an overview of the selected employee's master data, organizational data, and contact information. · Monitoring of Tasks - Displays dates, reminders, and tasks for the selected employee (e.g. Return from STD, Credential Verification, etc.). · Company Property - Displays the State objects on loan for the selected employee (e.g. computer, ID, keys, etc.).

Procedure:
1. Start all MSS applications by logging on to the BEACON Portal.

Information: After the initial log-on, there will be no additional log-on prompts to access business functions due to Single Sign-On (SSO).
Information: Note Text After the user is logged on, the business packages and tabs on the main page will vary by the user, depending on their roles and authorizations. For example, only managers will see a tab on their screen for My Staff (MSS) when they log on to the portal.
Critical: When using web applications that maintain or create data, always ensure you leave the application (or log off) when you complete work. This will prevent record locking.
4. After logging on, the user will be defaulted to the BEACON Home Page.

5. Click the My Staff (MSS)
tab.

6. Go to the 'Detailed Navigation' on the left section of the screen. Navigate to the 'General Information' by expanding the folders down the tree structure.

· Employee Search - A tool that resides at the top of the screen and is where the manager sees a list of his/her employees. When an employee is selected from the list, the lower part of the screen is refreshed with that employee's data.
· General Data - Provides the manager an overview of the selected employee's master data, organizational data, and contact information.
· Monitoring of Tasks - Displays dates, reminders and tasks for the selected employee (e.g. Return from STD, Credential Verification, etc.).
· Company Property - Displays the State objects that are on loan for the selected employee (e.g. computers, IDs, Keys, etc.).
7. Scroll to the top of the page to use the 'Employee Search' tool.

Information: Managers can change the display for the list of the employees by selecting a View or Display from the applicable drop-downs:
· Supervisor View - Direct Reports is currently the only view configured. Direct Reports show all directly reporting employees where the manager is designated as the 'Line Supervisor' in Organizational Management (B 002).
· Display - Select Organizational Information to display the employees' basic data from the org structure. Select Employee Data for minimal employee information.
Information: The list can be sorted by any column displayed. To sort, click the arrows to the right of the column name.

8. Click the hyperlink of an employee to display his/her information in the lower sections of the page.
9. Scroll down the page to the 'General Data' section of the page.

11. Scroll down to the lower left of the page to the 'Monitoring of Tasks' section.

Information: The 'Monitoring of Tasks' section shows important dates and reminders for various tasks that are tracked on the employee's master record (e.g. S/T Disability, End of Probation, Workers Comp Return, etc.).
12. Scroll to the lower right of the page to the 'Company Property' section.

Information: 'Company Property' displays the State property that is on loan to the employee (e.g. keys, computer, etc.). To see the details, click the hyperlink for property from the list. If more details are noted in the record, it will be displayed in the 'Note' section below.
