Continuation of Benefits During Leave of Absence

Trigger:

 Agency Benefits Specialist needs to notify employees on Leave of Absence of continuation options for benefits.

 

Business Process Procedure Overview

HR Data Maintainer places an employee on a leave of absence.  The Benefits Specialist runs ZBNS008 - Leave of Absence Notice Letter to send to the employee.  The Leave of Absence Notice Letter notifies the employee of what options are available for continuing benefits during their absence. 

The employee is given instructions in the letter to complete the attached form designating what plans they will continue or stop.  If  premiums for the State Health Plan are owed, they are instructed to mail payments to the BEST Service Center.

When the HR Data Maintainer places an employee on leave, they also indicate the employee's estimated return date on Infotype 19 - Monitoring of Tasks.  This date appears on the letter.   If this date is not created on Infotype 19 - Monitoring of Tasks, then the letter will not print and the employee's name will appear on an error log indicating the problem.  The letter will be available for print, once the date is created.

3. Update the following required and optional fields:

4. Click Execute (F8) button.

Information:  A list of employees will pop up for printing selection.

5. Click Letter (Ctrl+F1) button.

7. Click Print immediately checkbox.

8. Click Print button.

Information:  An error report will popup with a list of employee's name and the corresponding error.  For instance if the Estimated Return Date is not found on Infotype 19 - Montioring ot Task it will show up here.  The agency will need to populate the estimated return to work date, so the Benefits Specialist can generate and send the letter.

9. Select Sample LOA Continuation Notice.

11. The system task is complete.
