Work Contract Field

Trigger:  

 The Work Contract field needs to be populated due to one of several events.

Business Process Procedure Overview

The Benefits Administrator will need to populate the work contract field on IT0000 Organizational Assignment for one of several events: 

STD yrs of service eligibility - Employee is receiving short-term disability benefits and has less than 5 years of contributing service in the Retirement System. Employee is eligible to continue enrollment in the state sponsored health insurance, but must pay both the employee and employer contributions.  The system will automatically deduct the correct amount from the employee's paycheck when the work contract field is populated as follows :

· S1 - SHP - STD <5 Rtmnt (Employee enrolled in state sponsored health insurance, but has less than five years of contributing service in the Retirement System)

The agency Short-Term Disability Administrator will normally determine if the employee has less than 5 years of service and will update the work contract field during the PA40 process. 

 

Medicare Eligibility - Shared Services is notified that the employee or a covered dependent is enrolled in Medicare and eligible for a reduction in rates on the State Health Plan due to end stage renal disease or other disability.  The following options are available:

· M1 - Medicare EE Elig (Employee eligible)

· M2 - Medicare CH Elig(Child eligible)

· M3 - Medicare EE & CH(Employee & child are eligible)

· M4 - Medicare SP Elig (Spouse eligible)

· M5 - Medicare EE & SP (Employee & Spouse eligible)

The system will calculate the employee's premiums based on the medicare rule selected.

 

Retirees -  When Teachers' and State Employees' System Retirees are rehired, most are subject to an annual earnings limitation set by the Retirement System. Some retirees rehired as classroom teachers may be eligible for an exemption from this earning limitation.  The Retirement System requires agencies to report to them each month on the ORBIT file all retirees who have been reemployed and whether they are subject or not subject to the earnings limitation.   The options below will normally be updated by the hiring agency during the PA40 hiring action:

· RE - Retiree exempt from earnings limit

· RS - Retiree subject to earnings limit

4. Click Enter button.

Information:  Ensure the correct personnel number was entered after clicking Enter.

5. Click Organizational Assignment button.

Information:  This exercise demonstrates the steps needed to designate an employee who is Medicare eligible.

6. Click Copy (Shift+F9) button.

Information:  Use the Copy function to create history of the previous record being changed, instead of the Change function, which does not keep history.  The change function should only be used for spelling errors or initial entry errors.

8. Click the Contract dropdown.
