Verification is required as to the eligibility of an employee for various benefit plans throughout their lifecycle as an employee.
Business Process Procedure Overview |
The system offers only the benefit an employee is eligible for at the time of enrollment. The system is setup with several checks to ensure that an employee or their dependents remain eligible for the plans they are currently enrolled. If changes occur in the employee's eligibility, as a result of the following: · Changes in plan design. · Changes in an employee's organizational assignment that changes the employee's benefit groupings. · Manual adjustments made directly on infotype records. · Dependents who no longer meet eligibility criteria, such as due to age or no longer a student. The Participation Monitor checks the following by comparing current infotypes with the following customized data: · Eligibility o Is the employee still eligible for benefits based on benefit program (infotype 0171 General Benefit). Micro-eligibility o Does the employee meet the eligibility rules · Values and settings stored on infotypes o Employee contribution o Coverage o Additional coverage units o Pre-tax indicator o Dependents (for example, maximum age) o Beneficiaries (for example, 100% distribution) · Corequisite plans o Since prerequisite plans are only relevant at enrollment, the monitor does not check for these. Once the Benefit Administrator runs the Participation Monitor, the Benefit Administrator will perform the steps necessary to change or stop participation in any benefit plans that an employee or their dependents are no longer eligible to participate. Several options are available to end coverage: · Withdraw employees or dependents from plans for which they are ineligible or plan elections are invalid · Change employee elections for current plans · Transfer the employee to a different plan for which he/she is eligible within the same plan type The Participation Monitor should be run regularly, at minimum on a weekly basis, to detect ineligibility and election inconsistencies as soon as they occur. Changes in the employee's plan choices should be completed using adjustment reasons and not performed directly in this transaction.
